Privacy notice
What we collect when you apply for membership or write to the office, why we hold it, and what you can ask us to do with it.
This notice explains how Association of Professional Artisans of South Africa NPC handles personal information. It applies to this website, to membership applications made through it, and to the records we keep about members. It is written to be read by the people it concerns rather than by lawyers, and it does not limit any right you have under the Protection of Personal Information Act.
01Who we are
Association of Professional Artisans of South Africa NPC (registration 2024/645081/08) is a non profit company incorporated in the Republic of South Africa on 15 October 2024. In this notice we are called the association, we, or us.
The association is the responsible party for the personal information described here, as that term is used in the Protection of Personal Information Act 4 of 2013 (POPIA). Our registered address is 463044 D995 Road, Adams Mission, Amanzimtoti, 4126, KwaZulu-Natal.
02What we collect
We collect only what we need to assess and administer membership.

- Name, surname, identity or passport number and date of birth
- Email address, contact number and postal or physical address
- Province, trade, qualification and years of practice
- Trade test authority and year, where applicable

From visitors to this website
- The content of any enquiry you send us through the contact form, together with the name, email address and contact number you supply
- Standard server records kept by our hosting provider, such as the requesting network address and the pages served, used to keep the site available and to detect abuse
This site does not use advertising cookies and does not track you across other websites. The only cookie we set is a short lived session cookie for staff signing in to the administration area.
03Why we use it and on what basis
We process your information to perform the membership agreement between you and the association, to comply with our obligations as a professional body, and where you have given consent on the application form.
- To assess your application against the criteria for a category
- To verify a qualification with the issuing body or SETA
- To maintain the register of members and to issue designations, certificates and membership numbers
- To invoice and to record payment of annual fees
- To send you notices about your membership, renewals, continuing development and general meetings
- To put your name forward to an employer through the jobs portal, where you have asked us to
- To apply the code of conduct and to deal with any complaint against a member
We do not sell your information, and we do not send marketing on behalf of other organisations.
05The public register
A professional designation only means something if it can be checked. For members in good standing we may publish, on request from an employer or member of the public, the following and nothing more:
- Name and surname
- Membership number and designation held
- Trade and province
- Whether the membership is current
Your identity number, contact details, address, documents and fee history are never published.
06How long we keep it
- Applications that are approved are kept for the duration of membership and for five years after it ends, so that a designation can be confirmed after the fact
- Applications that are declined or withdrawn are kept for twelve months and then deleted
- Enquiries sent through the contact form are kept for twelve months
- Financial records are kept for the period required by the Companies Act and by tax legislation
07How we protect it
Applications are transmitted over an encrypted connection and stored in a managed database that is not exposed to the public internet. Supporting documents are held in access controlled storage. Access to the administration area is limited to named office bearers and is protected by a credential that expires.
No system is beyond risk. If a breach affects your personal information in a way that is likely to cause you harm, we will notify you and the Information Regulator as POPIA requires.
08Your rights
Under POPIA you may:
- Ask what personal information we hold about you
- Ask us to correct or complete information that is wrong
- Ask us to delete information we no longer have a lawful reason to keep
- Object to processing that relies on your consent
- Withdraw consent, without affecting anything done before
- Complain to the Information Regulator if you believe we have not handled your information properly
Write to info@apasa-npc.org.za and we will respond within thirty days. We may ask you to confirm your identity first, so that we do not disclose your information to somebody else.
Withdrawing consent to the processing of the information on your application will usually mean we cannot maintain your registration, as we would no longer be able to verify the basis on which it was granted.
09Changes to this notice
We will publish any change on this page and update the date shown alongside the contents. Where a change materially affects how we use information you have already given us, we will write to members before it takes effect.
